Creating an Incoming Document

To create an Incoming Document (for mail and faxes) in Notes follow these steps:

In your main Notes screen press Alt + Create and 1 for Incoming

A new window will open with the following dialogue box. Insert the matter number, eg 1726, and press OK



The Incoming Documenta page will now open, this is similar to the Outgoing Document page.


Enter the file type,

Database 'Legal Notes System', View '3. Keywords' Click on Link to view "Keywords" section in the Legal Notes System database

CORRESPONDENCE - File for corrrespondence (eg Letter, Fax etc)
COURT DOCUMENTS - Court documents file
EVIDENCE - File containing proofs and other evidence (medical reports, statements)
LAW - Notes on legal issues for a matter
OTHER DOCUMENTS - General category (accounts, etc)
SEARCHES - File for ASIC, DOLA and other searches



The enter in the date the document was received, the date of filing (if a court document) and the date the documents bears (if not dated then leave blank).

Then enter the Class of the document, eg letter, fax etc, as below.

Database 'Legal Notes System', View '3. Keywords'Click on Link to view "Keywords" section in the Legal Notes System database



Then enter the description of the document, include who the letter was from, a brief summary of the letter and any enclosures etc.

In the synopsis field put any relevant information, eg that an enclosed document was scanned in seperately etc.

Enter the number of pages to be scanned in.


Alt and Contol S to save the document, the document number will now be given.



Following Scanning Procedures or Incoming Fax Procedures to attach the scanned document/fax..

The go back to notes and click the Attach TIF File button, this should add an icon down the bottom for the scanned image. Put your initials next to this.

Save and exit.
