Adding or changing computers

Network configuration involves a hardware level and a software level. If you are lucky, the hardware is taken care of before the computer leaves the factory, and it is a plug and play network card that doesn't have settings you need to worry about. If you are unlucky, you are reconfiguring an old network card and you must input the settings manually. Most of the old network cards should be D-Link cards (which Windows supports as "NE2000 Compatible" under "Novell/Anthem" in the list of manufacturers), and the settings should be 10 for the IRQ and 0x300 for the I/O. If this is not the case, good luck in finding a D-Link driver disk, booting to DOS, and running its setup program to view or set the I/O and IRQ.

On the software level, there are Protocols, Clients and Adapters specified in "Settings/Control Panel/Networks" from the Start Menu in Windows. We are nowadays only using the TCP/IP protocol for our network communications.

1. Make sure that:
(a) TCP/IP is an installed protocol in "Control Panel/Networks" and that no other protocols are installed.
(b) "Client for Microsoft Networks" and "File and Printer Sharing for Microsoft Networks" are the only installed clients
(c) Your network card is the only installed adapter.

2. In the properties of the "Client for Microsoft Networks" ensure the domain is MR and that "Log on to Domain" is ticked.

3. Change the username in "Network, Identification" to the workstation name that you are setting up. When logging in for the first time, enter this new username (and password, which is the same as the username) even if the previous user's name comes up by default.

4. In the properties of TCP/IP, it was formerly the case that you would have to enter various nefarious numbers which are listed in the f:\admin\com.dir file. Now, unless you wish to do so, this is optional, because Jeremy has set up a DHCP server on our Linux gateway machine which will fill in these numbers for you. Otherwise, follow these steps:
(i) Make sure the dot next to Specify an IP Address has been clicked.
(ii) The number in the two spaces below should read, IP Address 192.168.1.(workstation number) and Subnet Mask 255.255.255.0.
(iii) Continue by clicking on "Gateway". Here there may already be a number in "Installed Gateways". If not click on "New Gateway" and type in 192.168.1.40 and click
"Add".

(iv) Click on DNS. Make sure that "Enable DNS" is also clicked before proceeding. In the host box type in the workstation name (eg. ws1, ws4) and also ensure that in "Domain" you have "proctors.com.au".
(v) Under "DNS Server Search Order" make sure the number there is 192.186.1.40; if that number is not there put it in the box next to "Add" and click Add, it should then Appear beneath it. Then add the number 203.25.143.1 (the ip address for the firewall).

5. Now that we are using TCP/IP rather than NetBIOS for our Notes traffic, Notes needs a way of resolving the hostname "MRPerth" to an IP address. This can be done by adding “Server Connection document for MRPerth in the local address book, or alternatively copy the file "c:\windows\hosts.sam" to "c:\windows\hosts" and add a line at the bottom as follows: "192.168.1.30 mrperth".

6. The next task in network configuration is to add the network drives N:, P:, F:, by clicking "Map Network Drive" in Windows Explorer and connecting

7. Solicitors should also have J: connected to "\\whitestar\cd_rom_j" and K: connected to "\\whitestar\cd_rom_k". You should be sure that you select the option to reconnect these drives at the next logon.

8. Similarly you must connect to the network printers from Control Panel/Printers and "Add New Printer". They are \\whitestar\kyocera and \\amh\kyocera. The printer drivers are installed on the print servers and should be installed automatically. If anyone has problems printing to the Kyocera 3700, check they have the most up to date driver. The most up to date drivers can be installed by running p:\win95\kyocera3700\9xekpdlr (for Windows 95/98 machines) or p:\win95\kyocera3700\n4ekpdlr. There are also drivers for the 1500 there, but this printer shouldn't have as many problems.

If the Notes client is not installed on the computer you are setting up, install it by running p:\notescnt\install. The program directory nowadays is c:\notes and the data directory is c:\notes\data. If you get errors during the installation, you may need to copy some DLL files over separately (see separate file note about this under 1753). I have not found it necessary, but Stuart likes you to edit "c:\autoexec.bat" using Notepad and to ensure there is a statement that includes "PATH=c:\notes;c:\notes\data" (it is not a problem if the PATH statement contains other directories as well).

If the user is simply being moved from one computer to another you can just copy their \notes\data directory and the \windows\notes.ini file to the new computer (using a temporary location eg. f:\temp if necessary).

If the user is new, you first need to add them from in Notes using "File", "Tools", "Server Administration" from a computer that has editor rights to the Public Address Book and Legal Notes System databases. Add the new user using by clicking "People, Register Person". Change the default password length to 5 and use "temp01" as the password. Their mail file should be their workstation name, eg. ws4.nsf. Don't elect to create their mail database immediately, rather it should be created during setup at the workstation.

Then, go into the Public Address Book database (names.nsf). Ensure the new user appears in the list. Change their "short name" to their initials (as opposed to the default, which is their first initial and surname). Add the user to the MRUsers group. Copy the user from the Public Address book to the Legal Notes System database (Ctrl-C to copy, Ctrl-V to paste), and edit that document to include their Workstation ID number in the appropriate field.

Then, run Notes for the first time on the new computer (or if it has a pre-existing Notes installation, simply delete the old user's notes.ini file which is usually in c:\windows but may also be in c:\notes or c:\notes\data). Alternatively you can delete all but the first 6-10 lines of notes.ini (so that some of the useful default settings are retained), or copy over the skeleton notes.ini from p:\notes457a. Any of these techniques will achieve a similar effect.

If the new user and the old user are sharing the same mail database, it is convenient before deleting the notes.ini file to run Notes one last time as the old user, and add the new user as a Manager of the mail database (by right-clicking and selecting Access Control) - click the box entitling them to delete documents, also. Otherwise, you have to delete the mail database which Notes won't let you do while the server is running.

The setup program will ask you a number of questions, most of which are self-explanatory. The username is the person's name, their home server is MRPerth/Proctors. Sometimes it will baulk the first time you try to put in the new user's name; trying again solves this and setup will then continue. Time zone is 8 hours east of GMT, and we do not observe daylight saving. We use the TCP protocol on our network, the server's name is MRPerth, and its IP address is 192.168.1.30.

When deleting users, reverse the above process. Be sure to remove the user from any Notes and Windows NT group he has been given special access to. You can find out what groups a user belongs to in Notes by clicking the icon third from the right on the Notes status bar. You should not, however, delete the user from the Legal Notes System database but only change their status to "Former Employee".

When running Notes for the first time you need to open the various databases that the person will need (or if you have retained the previous user's c:\notes\data\desktop.dsk file, most of the icons will already be there). Do this from the File/Database/Open menu, and see any of the other computers around the office for what databases are needed. Some are on the Galt server - snmatter.nsf and the Supreme and District Court databases - and most of the others are on the MRPerth server - matter.nsf, Legal Notes System, Due Diligence, Precedents, Legal Database.

Click once on the Legal Notes System database and select "Set Administration Server" (this steps is only necessary if you deleted or trimmed the notes.ini file manually). Then go into File/Tools/User Preferences and change some of the default settings - check for new mail every minute, have audible and visible notification of new mail, don't encrypt sent or saved mail, lock ID after 60 minutes of disuse. Change their password using File/Tools/User ID, and have them write the password inside an envelope and give it to Anne.
